Privacy policy
Last updated: 5 November 2026
SnagNFix is an app that helps housebuilders, contractors and homeowners report, track and sign off defects (“snags”) in new homes. This policy explains what personal data we collect, why, who we share it with and the rights you have. It applies to the SnagNFix app at app.snagnfix.com and our website.
Who we are
SnagNFix is operated by [OPERATOR NAME] (“we”, “us”), [REGISTERED ADDRESS]. You can contact us about privacy at privacy@snagnfix.com.
Our role: controller and processor
When a housebuilder or developer uses SnagNFix to manage its developments, that company decides why and how snag information about its homes is used. For that information, the developer is the controller and we are its processor: we handle it only on the developer's instructions, under a data processing agreement. If you are a homeowner, contractor or trade, your developer's own privacy notice also applies, and you can contact them directly about your data.
We are the controller for account and billing information about the developer companies that subscribe to SnagNFix, and for running and securing the service itself.
What we collect
- Account details: your name, email address and, if you choose to give it, phone number. If you sign in with Google or Apple, we receive your name and email address from them. We never see your Google or Apple password.
- Home and role details: which development and plot you are linked to, and your role (developer staff, contractor, trade or homeowner).
- Snag reports: descriptions, locations in the home, floor plan pins, photos and, if you record one, a voice note and its transcript. Photos may show the inside of your home, so please avoid capturing people or personal items you don't want to share.
- Activity: a record of who did what on each snag and when (for example, reported, assigned, visit agreed, fixed, signed off), and your sign-off signature.
- Documents: handover documents your developer uploads for your home, such as warranty certificates and manuals.
- Notifications: your notification preferences and, if you allow push notifications, a device token so we can send them.
- Billing (developers only): company name, billing address and VAT number. Card details are collected and held by our payment provider, Stripe; we never see or store full card numbers.
- Technical data: sign-in and security logs, IP address, browser and device type, used to keep the service secure and working.
Why we use it, and our lawful basis
| Purpose | Lawful basis (UK GDPR) |
|---|---|
| Creating your account and letting you sign in | Contract |
| Reporting, assigning, scheduling, fixing and signing off snags | Contract (for developers); processing on the developer's instructions (for homeowners, contractors and trades) |
| Sending emails and push notifications about your snags and visits | Contract, or legitimate interests in keeping everyone informed |
| Suggesting a priority for a new snag using AI (see below) | Processing on the developer's instructions / legitimate interests |
| Billing developer companies | Contract; legal obligation (tax records) |
| Keeping the service secure, preventing misuse and fixing faults | Legitimate interests |
We do not sell your data, use it for advertising, or use your photos or reports to train AI models.
AI snag assessment
When a snag is reported, its description and photos may be sent to an AI service to suggest how urgent it is and give a short explanation. This suggestion is clearly labelled as a guide only. A person at your developer always sets the official priority and decides what happens next; the AI does not make decisions about you.
Who we share data with
Within SnagNFix, people see only what their role needs:
- Homeowners see their own home's snags and documents, never another home's.
- Contractors see the snags assigned to their company; trades see only the jobs assigned to them. Neither can browse other homes or other contractors' work.
- Developer staff see the developments their company runs.
We use these service providers (sub-processors) to run SnagNFix:
| Provider | What for | Where |
|---|---|---|
| Supabase | Database, sign-in and file storage | London, UK |
| Vercel | Hosting the app | London, UK (with a global network for speed) |
| Anthropic | AI snag assessment | United States |
| Resend | Sending emails | [REGION] |
| Stripe | Payments for developer subscriptions | UK / EU / United States |
| Google, Apple | Optional sign-in | United States |
Where data is transferred outside the UK, we rely on UK adequacy regulations or the UK International Data Transfer Agreement / Addendum to protect it. We may also share data where the law requires it.
How long we keep it
- Snag records, photos and documents are kept for as long as your developer keeps the home on SnagNFix, normally until the end of the home's defects period plus a period agreed with the developer, then deleted.
- Account details are kept while your account is active and deleted within 30 days of you asking us to close it, unless we must keep something for legal reasons.
- Billing records are kept for six years for tax purposes.
- Deleted data may remain in encrypted backups for a short period before being overwritten.
Keeping it safe
Data is encrypted in transit and at rest. Access rules are enforced in the database itself, so each person can only reach the information their role allows, and every change to a snag is recorded in an audit trail that cannot be edited.
Your rights
Under UK data protection law you can ask to access, correct or delete your data, to restrict or object to how it is used, and to receive a copy in a portable format. To use these rights, email privacy@snagnfix.com or see how to delete your data. If your request is about snag information controlled by your developer, we will pass it to them and help them respond. We reply within one month.
If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ico.org.uk). If you are in Ireland, you can contact the Data Protection Commission (dataprotection.ie).
Cookies
We use only essential cookies and similar storage to keep you signed in and to save snags on your device when you have no signal. We do not use advertising or tracking cookies.
Children
SnagNFix is not intended for anyone under 18.
Changes
We will update this policy when how we use data changes, and tell you about significant changes in the app or by email.
